ICFBC exists to support a thriving coaching community expanding human potential in our communities. That vision shapes how the board leads, how decisions are made, and how members experience the chapter at every stage of their journey. A strong Board works as an integrated leadership body, with each role contributing distinct expertise to a shared purpose.
The mission — we empower coaches through training, access, and recognition — comes to life through collaboration across the Executive Officers and Director portfolios. The Executive Officers provide governance, continuity, fiduciary oversight, strategic leadership, and succession planning. The Directors translate strategy into action through programming, communications, membership engagement, credentialling support, equity-centred practice, partnerships, sponsorship, regional connection, and volunteer leadership.
Together, these roles advance ICFBC's three strategic priorities: Sustainable Growth & Impact, Coaching Excellence & Value, and Organizational & Development Excellence.
Core Objectives of the Board of Directors

Executive Officers
The bylaws define the Officers of the Chapter as the President, Vice President, Treasurer, Secretary, and Past President. Collectively, they form the leadership core of the Board and serve as the Executive Committee, which can exercise the Board's powers between Board meetings, as outlined in the bylaws. The Board of Directors remains the primary governing authority, and formal governance decisions must be taken by the Board or membership where the bylaws specifically reserve authority to those bodies. This committee must keep minutes of its meetings and report all actions taken to the Board of Directors at the first Board meeting following such action.
President
The President serves as the principal Board leader and strategic steward of ICFBC. This role creates the conditions for others to lead well, contribute meaningfully, and stay focused on what matters most: member value, coaching excellence, and community impact.
Key Responsibilities
- Provide strategic leadership to the Board in alignment with ICFBC's vision, mission, values, and strategic priorities.
- Chair Board meetings, annual general meetings, special meetings, and strategic planning sessions in a fair, inclusive, and effective manner.
- Guide the Board in setting annual goals, priorities, KPIs, and work plans that support the chapter's strategic priorities.
- Keep Board discussions focused on member value, retention, professional advancement, and the long-term credibility of the coaching profession.
- Support Directors in aligning portfolio activities with the chapter's strategic plan, annual budget, and member needs.
- Promote a collaborative Board culture rooted in trust, accountability, transparency, and respectful dialogue.
- Represent ICFBC with professionalism in interactions with members, ICF global or regional partners, sponsors, and stakeholders.
- Work closely with the Treasurer on financial stewardship, budget planning, and revenue sustainability.
- Partner with the Secretary to ensure Board decisions and governance records are clear, timely, and well maintained.
- Mentor and work closely with the Vice President to support leadership readiness and a smooth presidential transition.

Reporting Structure
- Accountable to ICF Global Regional Manager and the ICFBC Board of Directors and, through the Board, to the chapter membership.

- Serves as the primary liaison with ICF global or regional contacts, chapter partners, and external stakeholders.
Required Qualifications

Past President
The Past President is the bridge between what has been learned and what is still becoming possible. This role helps ICFBC carry forward its wisdom without getting stuck in the past.
Key Responsibilities
- Provide continuity, mentorship, and strategic advice to the President, Vice President, and Board of Directors.
- Support smooth leadership transitions by sharing historical context, governance knowledge, and lessons learned from previous Board cycles.
- Advise the President on Board culture, stakeholder relationships, strategic risks, and emerging opportunities.
- Support succession planning by identifying, encouraging, and mentoring potential future Board and committee leaders.

Vice-President
The Vice President is the chapter's leadership-in-preparation role and a critical partner in continuity, governance, and future readiness.
Key Responsibilities
- Work closely with the President to gain the knowledge, experience, and perspective required for a seamless future transition to the role of President.
- Build a strong understanding of the duties and responsibilities of the President, elected officers, and portfolio Directors.
- Support director portfolios as designated by the President to ensure efficient operations and alignment with organizational goals.
- Collaborate with the President and Board on strategic planning, annual goal setting, and budget development.
- Help identify, encourage, and develop emerging leaders from within the membership, committees, and volunteer base.

Treasurer
The Treasurer is responsible for the fiscal operation and financial stewardship of the chapter.
Key Responsibilities
- Maintain accurate and current electronic financial records for the chapter.
- Manage accounts payable and accounts receivable in a timely and organized manner.
- Oversee accounting procedures and financial controls in collaboration with the chapter's accountant or financial support resources.
- Reconcile revenues from chapter activities, educational programs, and special events, ensuring deposits and records are completed accurately and on time.
- Provide written financial reports to the Board of Directors on a regular schedule.
- Advise the Board on financial status relative to approved budgets, forecasts, and emerging risks.
- Co-sign required cheques, electronic fund transfers, or other authorized disbursements, in accordance with chapter controls.

- CPA or other financial professional designations are considered an asset and highly valued for this role.
- Strong financial literacy, including budgeting, forecasting, reconciliations, and financial reporting.
- Experience with spreadsheets, accounting systems (Quickbooks), and digital record-keeping tools.

Secretary
The Secretary is the keeper of the Board's official memory.
Key Responsibilities
- Prepare, distribute, and maintain accurate agendas, meeting minutes, motions, resolutions, and official Board records.
- Record Board decisions clearly, including action items, responsible owners, timelines, and follow-up requirements.
- Maintain an organized governance calendar that supports annual planning, reporting, elections, board transitions, and policy reviews.
- Support the President in preparing for Board meetings, annual general meetings, and special meetings.
- Maintain secure and confidential records, including bylaws, policies, Board rosters, and meeting minutes.

Directors
Directors are defined collectively as the governing body responsible for managing the business and affairs of the Chapter, preparing for membership meetings, participating in Board decisions, and overseeing committees, policies, and operations within the authority granted by the bylaws and applicable law.
Programs
The Programs Director helps translate strategy into learning experiences that members can use and value.
Key Responsibilities
- Identify and assess presentation and learning opportunities that align with chapter goals, member needs, and ICF standards.
- Schedule speakers for monthly educational meetings, webinars, or other learning experiences.
- Organize educational events, including venue booking, equipment, catering, accessibility considerations, and logistics.
- Collaborate with the Treasurer on collection of fees and accurate reconciliation of program-related revenue.
- Create and maintain the educational program calendar for publication on the chapter website and related channels.
- Track attendance, evaluation feedback, and revenue data to assess program success and guide continuous improvement.
- Build and manage an annual portfolio budget, ensuring expenses and revenues remain aligned with approved forecasts.
Reporting Structure

Communications
The Communications Director is responsible for managing and maintaining the chapter brand and the channels through which members and stakeholders understand the chapter's value.
Key Responsibilities
- Strategize, manage, and maintain the chapter brand across all communication channels, including the website, email, newsletter, and social media.
- Promote ICF and chapter events, resources, initiatives, and key messages through chapter communication channels.
- Work with Directors to develop an annual communications plan that supports strategic goals and member engagement.
- Write and edit content that clearly and professionally communicates chapter news, opportunities, and professional resources.
- Coordinate and approve key communications to the membership to ensure consistent messaging and brand alignment.
- Manage and support external communications contractors or consultants, where applicable.
- Develop and manage an annual communications budget in alignment with chapter forecasts.

Membership
The Membership Director oversees the end-to-end member lifecycle, from first contact to long-term engagement and recognition.
Key Responsibilities
- Lead membership recruitment strategies that support growth, diversity, and alignment with chapter priorities.
- Develop and deliver member orientation and onboarding programs.
- Monitor member satisfaction and support retention initiatives based on feedback and participation patterns.
- Support credentialing awareness and member understanding of ICF standards and pathways.
- Develop recognition programs that honour years of service, volunteer contributions, and member milestones.
- Analyze membership engagement data, renewal patterns, and participation trends to support informed decision-making.
Reporting Structure

- Works closely with the Communications Director on recruitment, onboarding, and member messaging.
- Collaborates with the Programs, Volunteer, DEIB, and Organizational Engagement Directors.
Required Qualifications
- Demonstrated experience in membership management, community engagement, customer experience, or association management.
- Membership management credentials such as CAE, or HR credentials such as CPHR, SHRM-CP, or PHR, are considered strong assets.
- Strong relationship-management and communication skills.
Director of Credentialling Support (non-voting)
The Director of Credentialling Support helps members move through the credentialling journey with greater clarity, confidence, and momentum.
Key Responsibilities
- Promote ICF's vision, mission, values, ethical standards, credentialling framework, and strategic priorities at the chapter level.
- Educate members on ICF credentialling pathways, requirements, timelines, renewals, and leading practices.
- Support new applicants and renewing credential holders by helping them identify practical next steps.
- Refer members to official ICF Global resources, tools, webinars, and support channels when case-specific guidance is needed.
- Build and maintain relationships with coach education and training providers.
- Track participation in credentialling activities and prepare regular Board updates and an annual report.
Reporting Structure

- May liaise with ICF Global resources, staff, and webinars to ensure members receive accurate credentialling information.
Required Qualifications
- Active ICF membership in good standing and a signed and submitted Chapter Leader Pledge.
- ICF-credentialled coach, preferred and strongly encouraged, or required where chapter or ICF policy applies.
- Willingness to complete required ICF Volunteer Leader Training within three months of appointment.
- Capacity to commit approximately 8 hours per month, plus Board meetings and chapter events.
DEIB
The DEIB Director advances a diverse, equitable, inclusive, and welcoming chapter culture.
Key Responsibilities
- Serve as the lead and point person for integrated DEIB efforts across the chapter.
- Advise other Directors on DEIB strategies and practical implementation within their portfolios.

The Organizational Engagement Director builds and manages external relationships that increase the profile, credibility, and reach of the coaching profession.

- Support respectful and meaningful engagement with Indigenous organizations and communities, where appropriate.

The Sponsorship Director leads the chapter's sponsorship strategy and helps build mutually beneficial relationships that support financial sustainability, visibility, and member value.

- Develop and implement a sponsorship strategy that supports chapter priorities, annual goals, and revenue sustainability.
- Identify, research, and cultivate prospective sponsors whose values align with ICFBC's mission and professional standards.

The Regional Director represents and champions the interests of members living outside Greater Vancouver, including Vancouver Island, the BC Interior, Northern BC, and remote communities.

Director of Volunteer Engagement
The Volunteer Director oversees the systems, relationships, and practices that support volunteer recruitment, onboarding, engagement, recognition, and retention.
